Artificial intelligence can transcribe and summarise meetings and help latecomers catch up without wasting people’s time. The upshot? Fewer and better meetings.
Your boss is late to the meeting. No biggie. Now you have some time to catch up with colleagues and talk about their weekend plans.
It’s a common problem in today’s world of back-to-back meetings. But it’s also one that a new range of artificial intelligence tools hopes to address. “So if you’re the exec who turns up 10 minutes late, instead of wasting everybody else’s time, you can hit the ‘catch me up’ button and it’ll give you a summary of the conversation .”and comes with a preset “Was my name mentioned?” button, helping latecomers quickly find out whether their work has been discussed or whether new tasks have been assigned to them.
“The AI tools allow us to stop doing that,” he says. ”Personally, what I do now when I get in that situation is I reach out to the meeting organiser and I say, ‘Hey, can you make sure you turn on the AI tool, and can you send me the summary?’ And instead of sitting there, half concentrating for an hour, I read the summary in four minutes flat.“
The AI tool is embedded across all Microsoft 365 apps, including Word, Excel, PowerPoint and Outlook.“We know that inefficient meetings are the No.1 productivity disruptor,” Debono says, citing Microsoft research that found people were havingand can summarise people’s contributions in simpler terms, recap the meeting so far, list action items, explain which questions remain unresolved, and generate meeting notes.
”You’re not adding just another tool, what you’re doing is looking at where you’re stuck or held up or spending a lot of time, and using AI and technology to solve that workflow,” Williams says. “That’s where the benefits of technology can unlock productivity.“. The platform allows users to cut down on meetings by recording their screens, cameras and microphones to share videos with their teammates, who can watch the updates at their convenience. The platform also has an AI suite.
